What exactly does Best Reception do?

Simply put, we answer your calls for you, in your company's name, when you cannot. We will answer any queries your callers have, take a message for you, book appointments, screen your calls, put calls through to you - in other words, we do exactly what you ask us to!

How does it work?

Almost all phone systems can be set to divert in just a few moments. We provide you with a dedicated phone number for your business which you divert your calls to when you are in a meeting, on the other line or simply unavailable. When your caller telephones your business, the call is seamlessly diverted to your Best Reception PA who will instantly know that the call is for your company. She then will answer in your company’s name and deal with the call as per your instructions.

What does it cost?

Are there any set up fees?

No. Set up is entirely free. In fact, we also offer a completely free (and without obligation) 2 week trial. We’re confident that once you have tried the service you will want to keep it and we can simply continue the service without interruption.

How do I divert my calls?

Depending on your phone set up, this may vary slightly but it is normally a simple case of keying in a code such as *166*“your best reception number”# and from that point onwards your calls would be diverted if there was no reply or if all your lines were busy. Your Account Manager will work this out for you and get you up and running.

When should I divert my calls?

Whenever you wish! We recommend that the “divert on busy/no reply” setting is always activated, so that you get the most out of your Best Reception, but how you use it, is entirely up to you. You may find that on days when you’re in meetings, you want all calls to come to Best Reception. Again, this can be activated and deactivated in seconds with ease.

Can you put calls through to me?

Yes. Some clients want Best Reception to act as a first point of call for all their callers. This way, we can act as your very own PA, deal with enquiries and put through the call to you.

Can you screen sales calls?

Yes, we offer this service free of charge for all but our Essential call plans.

How & when do I receive my messages?

We will email you your messages as soon as we take them. If you wish, we can also send you the messages via SMS (text) to your mobile. Additionally, we can send you daily/weekly/monthly summaries of your messages (in CSV (Excel), PDF or text format).

Can I choose when I divert my calls?

Of course. Our service is as flexible as you wish.

Can I put more than one company through Best Reception?

Yes. In fact, you can ‘pool’ your inclusive messages between two companies. Please speak to our team to discuss the best solution for you.

Can you receive faxes on my behalf?

Yes. We are happy to provide you with a fax number. We will then email your faxes directly to you.

How long do I need to sign up for?

Our initial trial periods are completely obligation free. After this period, we ask for just 2 months from the end of the current calendar month, if you wish to leave, thus enabling us to ensure appropriate staffing levels.

Can I trial the service before I use it?

Absolutely! We actively encourage our potential customers to try our service for FREE for 2 weeks without any obligation.

Can you provide 0800 / 0845 / 0203 / 01 or other local numbers?

Yes - please ask for more information.

Do I need to change my phone number?

No. You can retain your existing number and phone provider. We are happy to provide a number should you wish but this is not the norm.

How do you know the calls are for my company?

You will be given a line, straight into our offices, dedicated to you. That number is unique to your company so any calls that come through on that line are presented to your PA with your company’s name, details and script automatically.

What hours are you able to take my calls?

Our normal hours are 8.00am to 7.00pm Monday to Friday and 8.30am to 5.30pm on Saturdays, but if you have any special requirements beyond this, please let us know and we will do our utmost to adapt to your needs.

Do you offer an out-of-hours service?

Our standard opening hours are 8am-7pm Monday to Friday and 830am to 530pm Saturday however if you require a 24/7 service, we can arrange for your calls to be answered 24 hours a day, 365 days a year. Alternatively, we can provide you with a voicemail service where any messages we receive for you outside office hours will be emailed to you instantaneously

What if I decide not to continue after the free trial?

That’s fine, just please let us know.

Are you able to capture specific information from my callers?

We are happy to capture and relay any information that you wish. We suggest that you don’t ask us to interrogate your callers but are happy to follow any reasonable script and/or questions.

What happens if more than one call comes in at once for me?

Not a problem. They will be answered in the normal way.

Are there additional costs for multiple contacts in my company?

No. You can have as many contacts as you wish. In order to provide a professional service, we advise that you keep us up to date with new starters, contact details etc. This can be changed by you as often as required for free.

How do you greet my callers?

However you would like us to, normally along the line of “Good Morning/Afternoon, “Your Company Name”, how can I help you”.... but it is up to you.

How often can I change my script and/or profile?

As often as you like (within reason) and its free to do so.

How will you understand my business sufficiently to give the right impression to callers?

When you join Best Reception we will go through all the information with you that we need to fully understand your business.  All our staff will then be trained on your company before they answer any calls for you.

I currently divert to my mobile - what is the advantage of using this service?

We offer you a constant service without interruption from passers-by, noise, interference or worst of all the times when you are in a meeting and have to send callers to voicemail. With Best Reception, they will always be answered by YOUR professional receptionist.

I’m a small business so how can I justify costs?

What is the cost of a single lost customer to your business? Our prices start from just £30 per month and in almost any business, if we can save our clients one customer that would have called the next company in the phone book, our service is already money well spent.

I already have a receptionist, why would I need another one?

We can cover times when you have heavy phone traffic. We are never on holiday, off work sick, on lunch or late for work and are more than happy to act as a back-up to your existing staffing cover.

What is the advantage over using agency staff during busy periods?

Apart from the fact that a Best Reception customer will receive a consistent, quality service, the cost factor alone justifies using our service over agency staff. Couple this with the flexibility we offer, the ongoing client relationship and knowledge of your business and we cannot see how an agency temp could even come close.

How quickly can you set up a service for me?

We normally ask for 24 hours, however, if it is extremely urgent, we will do our very best to be fully operational within the hour.

What do I have to do to register for the service?

Is it complicated to get set up?
